Senior Executive Assistant – Luxembourg

About the role

The European Investment Bank is seeking a (Senior) Executive Assistant to support the Ombudsperson at its Luxembourg headquarters. This full‑time, three‑year fixed‑term role requires regular on‑site presence and offers the chance to work in a truly international, multi‑cultural environment.

Key responsibilities

• Plan and organise missions, high‑level meetings, receptions and business trips, handling travel arrangements and related documentation.
• Independently manage and optimise the Ombudsperson’s agenda, prioritising competing demands and adjusting schedules as issues arise.
• Act as the central coordination point between the Office of the Ombudsperson and internal/external stakeholders, ensuring confidential and timely information exchange.
• Manage correspondence, prepare replies, and ensure follow‑up on deadlines.
• Coordinate preparation, quality‑check and submission of documents for the Ombudsperson’s review.
• Maintain electronic and paper filing systems, guaranteeing data quality and easy retrieval.
• Provide ad‑hoc support for research, event organisation and project‑related tasks.
• Accompany the Ombudsperson on missions to EIB Group offices when required.

• High degree of autonomy with sound judgement and strong prioritisation skills.
• Discretion in handling confidential and sensitive information.
• Excellent organisational abilities and attention to detail.
• Ability to work effectively with senior officials and diverse stakeholders.
• Flexibility to adapt to emerging issues and changing priorities.
