Executive Assistant – EU Amazon Freight & 3P Ops

About the role

We are seeking an experienced, resourceful Executive Assistant to support two senior directors – the Director of EU Amazon Freight (based in Luxembourg) and the Director of 3P Transportation Ops (based in London). This role is the operational backbone of a multi‑country organization that manages Amazon’s B2B freight shipping service across the UK/EU and its third‑party carrier network.

Key responsibilities

• Own and manage complex, multi‑timezone calendars for both directors, proactively resolving conflicts and aligning time with business priorities.
• Coordinate domestic and international travel, including multi‑country itineraries, and handle expense reconciliation.
• Support the organization’s operating rhythm by distributing pre‑reads, preparing agendas, tracking action items, and flagging overdue commitments.
• Prepare, collect, and curate content for meetings, reports, and presentations on behalf of the directors.
• Act as a trusted liaison with internal and external stakeholders, ensuring smooth communication and timely follow‑up.

Required profile

• Proven experience as an executive assistant in a fast‑paced, multi‑national environment.
• Ability to complete complex tasks quickly with minimal guidance and to act decisively amid ambiguity.
• Strong organizational, planning, and time‑management skills.
