Administrative Assistant – General Secretariat (Temporary)

About the role

We are seeking a proactive Administrative Assistant to support the Head of Division and the team within the General Secretariat Service of a leading investment bank in Kirchberg. This is a temporary position for an initial period of two months, with the possibility of extension up to one year under Luxembourgish law.

Key responsibilities

  • Provide daily administrative and organisational support to the Head of Division and team.
  • Prepare and format documents, presentations, reports, briefing notes and meeting materials.
  • Coordinate internal document approval and distribution processes.
  • Assist with monthly operational reporting by gathering and organising information.
  • Maintain databases, internal documentation systems and electronic archives.
  • Organise meetings, seminars, conferences and business travel arrangements.
  • Manage calendars and coordinate participation in senior‑management and board‑level meetings.
  • Handle general administrative tasks such as filing, data entry, contact‑list management and logistics coordination.
  • Collaborate with other assistants to ensure coverage during absences and identify process‑improvement opportunities.

Required profile

  • Secondary school diploma with additional training or certification in administration, business support or secretarial studies.
  • Minimum three years of experience in an administrative or assistant role.
  • Excellent written and spoken English and French; additional European language is a plus.
  • Strong organisational and multitasking abilities with attention to detail.
  • Ability to manage priorities and work effectively under tight deadlines.
  • Proactive, reliable and solution‑oriented mindset.
  • Comfortable working in an international, fast‑paced environment.

What we offer

  • Gross hourly rate of €22.16.
  • 26 days of annual leave plus up to 17 public holidays.
  • Temporary fixed‑term contract with potential extension up to one year.
