Policy Administration Officer

About the role

Utmost International is seeking a Policy Administration Officer to join its Luxembourg team. You will be responsible for managing payments, account closures and ensuring the smooth administration of insurance‑linked wealth solutions for high‑net‑worth clients.

Key responsibilities

• Initiate payments to clients and authorities, manage account closures and reconcile daily payment requests.
• Maintain accuracy and quality in correspondence, system updates and procedural implementation.
• Collect, record and monitor required documentation and transaction progress.
• Ensure compliance with internal controls, industry regulations and conduct due‑diligence reviews.
• Handle client complaints promptly to achieve satisfaction and service standards.
• Serve as the primary contact for policy administration queries.
• Meet service‑level agreements, deadlines and quality standards.
• Lead internal projects or initiatives related to policy administration.
• Stay up‑to‑date on technical, procedural, compliance and legal aspects of the role.

Required profile

• University degree in Economics, Finance, Business Management or a related field, or equivalent experience.
• Minimum 2 years of experience in finance or insurance, preferably in client services or policy administration.
• Strong organisational, analytical and team‑working abilities.
• Client‑service focus with a solutions‑oriented mindset.
• Ability to work in a regulated environment and adhere to internal and external guidelines.
• Awareness of developments in the financial/insurance sector and competence with transfer requests and financial instruments.
• Excellent verbal and written communication skills for explaining complex issues.
