About the role
Our client, a Luxembourg‑based subsidiary of a leading insurance and pensions provider, is looking for a Personal Assistant to support the CEO. The role is dynamic, with varied daily tasks, and offers the chance to grow into a broader Executive Assistant position.
Key responsibilities
- Manage the CEO’s diary, correspondence and time‑sensitive communications, including regulatory letters.
- Handle day‑to‑day office operations such as mail, visitor coordination and ad‑hoc logistics.
- Organise internal events, including quarterly board meetings, monthly management meetings and team lunches.
- Draft, proofread and format written communications, bringing clarity to documents and emerging procedures.
- Act as a proactive liaison between the CEO and internal or external stakeholders.
- Anticipate operational needs, identify potential issues and implement practical solutions.
- Support team cohesion and contribute to a positive office culture.
Required profile
- Previous experience in an administrative, PA or office‑management role, preferably in professional or financial services.
- Fluency in English and French.
- Strong written communication with the ability to produce clear, well‑structured documents.
- Proactive, self‑starting attitude with the ability to anticipate needs.
- Comfortable working without rigid procedures and able to introduce structure.
- High emotional intelligence and confidence in building professional rapport with the CEO.
- Highly organised, detail‑oriented and able to manage competing priorities.
