About the role
The Luxembourg office of Simpson Thacher & Bartlett LLP is seeking a proactive legal assistant to provide high‑quality secretarial support to three partners and assigned attorneys. The role involves managing daily administrative tasks, coordinating meetings and travel, and ensuring smooth matter administration.
Key responsibilities
- Act as gatekeeper for fee earners, handling calls and providing accurate information.
- Manage diaries, schedule internal and client meetings, and arrange room bookings and catering.
- Draft, amend, format, and convert correspondence, emails, event invitations, and engagement letters.
- Create and update pitch documents in PowerPoint and handle document mark‑ups.
- Organise domestic and international travel for fee earners, including itineraries and expense claims.
- Assist with time recording, billing queries, and matter opening procedures, including conflict checks and Chinese wall implementation.
- Maintain expense claims, support wider team members, and perform any additional administrative duties required.
Required profile
- Previous experience working in a legal firm is essential.
- Excellent communication skills across multiple time zones (Asia, Europe, Americas).
- Certificate or diploma in a secretarial course (BAC+3) preferred.
- Strong organisational abilities, flexibility to work overtime, and capacity to work independently or as part of a team.
- Very good English; fluency in French and/or German is desirable.

- Microsoft Word – advanced level.
- Microsoft Outlook – contacts and calendar management.
- Microsoft PowerPoint – basic knowledge.
- iManage document management system.
- Microsoft Excel – basic knowledge.
