Associate Hospitality Services Contract Manager (Luxembourg)

About the role

The European Investment Bank (EIB) is looking for an Associate Hospitality Services Contract Manager to join its Hospitality Services Unit at the Luxembourg headquarters. This full‑time, fixed‑term position (4‑year contract) requires regular on‑site presence and offers the chance to work in a truly international, multi‑cultural environment with relocation support.

Key responsibilities

• Coordinate and monitor outsourced facilities management contracts covering catering, cleaning, waste management, reception, senior management support and service desk.
• Implement operating procedures, ensure compliance with EIB policies and deliver best‑value services for employees and guests.
• Provide operational input for hospitality requirements in construction and refurbishment programmes, guaranteeing service readiness during building transitions.
• Monitor FM Service Desk ticketing activity (MyRequests/Archibus), analyse KPIs and drive continuous improvement actions.
• Support quality control for catering and cleaning services, initiating corrective or preventive measures with providers.
• Track contractual compliance of service providers and contribute to standardisation and data‑driven improvement initiatives.

Required profile

• Strong negotiation and customer‑focus skills with the ability to interact with senior stakeholders and external partners.
• Excellent interpersonal and communication abilities across all organisational levels.
• High level of diplomacy and ability to work collaboratively with CRE staff and other internal units.

Required skills

• Experience with Archibus or similar facilities management ticketing systems.
