Senior/Principal Operational Assistant – Health Insurance & Administration

About the role

The European Investment Bank is looking for a Senior/Principal Operational Assistant to support the Health Insurance Scheme (HIS) and related health programmes at its Luxembourg headquarters. This full‑time position requires regular office presence and offers a permanent contract within a multicultural, international environment.

Key responsibilities

• Administer the EIB and EIF Health Insurance Scheme, including preventive medicine programmes and medical assistance for private life events.
• Manage sick‑leave, occupational disability, and work‑related illness/accident processes.
• Handle procurement, policy administration, and contractual aspects of the HIS.
• Act as the primary contact for internal clients, answering complex enquiries on HIS rules and staff regulations.
• Validate and process medical claim reimbursements, issue guarantee letters, and oversee payments to affiliates and hospitals.
• Maintain accurate records, both paper and electronic, and ensure data quality in databases.
• Prepare operational reports, produce the annual HIS report and suggest improvements.
• Liaise with the Third‑Party Administrator on contractual data protection, KPIs and communications.

Required profile

• Strong attention to detail and high level of accuracy.

• Good understanding of health insurance administration and staff regulations.
• Experience in processing reimbursements and maintaining documentation.
