Corporate & Compliance Associate – Luxembourg

About the role

We are seeking a Corporate & Compliance Associate to join the headquarters of a fast‑paced international trading group in Luxembourg. Reporting to the Legal Operations Manager and supporting the HQSE Manager, you will ensure corporate filings, legal documentation, and compliance processes are executed accurately and on time.

Key responsibilities

• Prepare and file RCS, RBE and eCDF submissions; maintain corporate documents repository and track deadlines.
• Coordinate notarizations, legalizations and certified copies; manage director and shareholder registers and UBO registration.
• Respond to bank, auditor and global KYC requests; support Process Agent (UK) administration.
• Maintain electronic and paper corporate records, update signatory lists, and assist with ISO 9001/GMP+ system in SharePoint.
• Assist the HQSE Manager with MSDS generation, REACH reporting and act as backup for the REACH Specialist.

Required profile

• Excellent oral and written communication skills in English; proficiency in French for legal documentation.
• High ethical standards, strong work ethic and ability to manage multiple tasks under pressure.
• 1‑3 years of corporate officer or administration experience in Luxembourg.
• Law degree or legal training preferred.

Required skills

• Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Visio).
• Advanced Word formatting and familiarity with electronic platforms such as OnBase.
• Experience with e‑signature tools and SharePoint for document management.
