Legal Assistant – Corporate Governance & Compliance

About the role
As a Legal Assistant at Hines in Luxembourg, you will support the legal team in corporate governance, board matters and compliance processes. You will act as a liaison between internal departments and external partners to ensure accurate documentation and smooth workflow.
Key responsibilities
- Assist with corporate governance and board‑related administrative tasks.
- Maintain and update legal records, company data and corporate structure charts.
- Coordinate preparation and execution of legal documents and reports.
- Organise meetings and provide day‑to‑day support for the legal department.
- Manage KYC onboarding and periodic reviews, including UBO and other compliance documentation.
- Monitor KYC progress and communicate updates to stakeholders.
- Collaborate with Compliance and Tax teams on AML, FATCA and CRS requirements.
Required profile
- Post‑secondary education in law, legal studies, business administration or a related field (e.g., BTS Legal Assistant or equivalent).
- At least 1 year of experience in a legal, corporate or administrative environment, preferably within a corporate administrator or investment management company.
- Basic knowledge of corporate governance and legal/administrative processes in Luxembourg.
- Strong organisational skills, attention to detail and ability to manage multiple tasks.
- Fluent written and spoken English.

- FATCA and CRS reporting.
- Ultimate Beneficial Owner (UBO) identification.
